This policy explains how Certify Damp UK Ltd, trading as Federation of Damp, uses personal data when you visit our website, create an account, buy training, apply for membership, use member services or contact us.

- Learning and membership records: enrolments, progress, assessment and certification records, applications, professional details and employee relationships where relevant.
- Enquiries and directory information: the information you provide when requesting a specialist, and business directory information submitted by members.
- Technical and usage data: IP address, device, browser, website activity and cookie preferences.

3. Why we use your information
We process personal data to perform a contract with you, including managing accounts, training, orders, payments, certification, membership and support. We also use data for our legitimate interests in operating, improving and protecting our services, preventing fraud, answering enquiries and maintaining professional records. Where required, we ask for consent, for example for non-essential cookies and direct marketing. We also process data where necessary to comply with legal obligations.
4. Specialist enquiries
When a homeowner submits a specialist enquiry, we share the enquiry and contact details with the selected suitable member business or businesses so they can respond directly. We do not sell homeowner contact data. Each specialist becomes responsible for its own use of the data it receives and should provide its own privacy information to the homeowner.
5. Service providers and sharing
We use carefully selected providers to run our services, including WordPress and WooCommerce for website and orders, LearnPress for learning records, Stripe for payment processing, SiteGround for hosting, email delivery providers, GoHighLevel for forms and customer communications, Make for authorised workflow integrations, Monday.com for operational course administration, and CookieYes for cookie preference management. These providers may process data on our behalf under contractual safeguards. We may also share data where required by law, to protect rights and safety, or as part of a business reorganisation.
6. Marketing
We may send relevant updates about training, membership and services where permitted by law. You can opt out of marketing at any time using the unsubscribe link in an email or by contacting us. Operational messages about your account, booking, membership or course are not marketing and may still be sent where necessary.
7. Cookies and analytics
We use essential cookies to make the website work and optional cookies for analytics, performance and marketing where you have consented. You can change your choices at any time through the Cookie Preferences link on our website. Please also see our cookie settings for current categories and providers.
8. International transfers
Some providers may process data outside the UK. Where this happens, we use appropriate safeguards required by UK data-protection law, such as adequacy regulations or approved contractual protections.
9. How long we keep data
We keep data only for as long as needed for the purpose for which it was collected, including legal, accounting, tax, certification, membership and dispute-resolution requirements. We review records periodically and delete or anonymise them when they are no longer needed.
10. Your rights
Subject to applicable law, you may ask for access to your personal data, correction, deletion, restriction, objection to processing, portability, or withdrawal of consent. To exercise a right, contact info@federationofdamp.co.uk. You may also complain to the UK Information Commissioner’s Office at ico.org.uk.
11. Security
We use appropriate technical and organisational measures to protect personal data. No online system can be guaranteed completely secure, but we take reasonable steps to reduce risk and investigate suspected security incidents.
12. Changes to this policy
We may update this policy when our services or legal requirements change. The latest version will always appear on this page with its updated date.
